Warehouse Framework — SOP / WI / LI Services

SOP, Work Instructions & Local Instructions — built for real warehouses

We design, create and review Standard Operating Procedures (SOP), Work Instructions (WI), and Local Instructions (LI) with a controlled, audit-ready structure. Our core differentiator is that we document multiple Operating Methods (approved ways to execute the same task depending on equipment, volume, and constraints), so your operation stays consistent even when conditions change.

Outcome

Less variation

Standard work that new hires can follow, and supervisors can enforce.

Outcome

Audit-ready structure

Document control, versioning, approvals, training & evidence links.

Outcome

Reality-proof

If the “standard method” isn’t possible, you still have approved methods or an LI.

Why SOPs fail (what we fix)

  • One “ideal” method written — but the floor uses 3 different methods.
  • WI and SOP mixed together → too long to follow.
  • Exceptions handled by WhatsApp / verbal instructions.
  • No approvals, no ownership, no version control.
  • Training doesn’t match documentation.

Our system separates rules (SOP) from execution (WI) and exceptions (LI), and it makes Operating Methods explicit.

What we deliver

1) SOP creation (Master SOP or per-process SOP)

  • Document control + governance fields
  • Roles & responsibilities
  • Operating Methods (approved ways to execute the same activity)
  • Safety, quality, KPIs, escalation rules
  • Linked Work Instructions and Local Instructions

2) WI creation (method-specific step-by-step)

  • Preconditions (Go / No-Go checks)
  • Required tools, PPE, system access
  • Step-by-step execution (operator-ready)
  • Quality checkpoints and common errors
  • Training & authorization requirements

3) LI creation (exceptions, downtime, site constraints)

  • Trigger conditions (when LI applies)
  • Temporary operating rules and limits
  • Alternative Operating Methods
  • Communication / escalation and return-to-standard rules
  • Expiry and deactivation controls

Operating Methods (the “real life” layer)

One SOP can contain multiple approved Operating Methods so the same task stays controlled even if equipment changes.

Method Equipment Skill Typical use
OM-1 EPT Trained Standard pallet moves, normal volume
OM-2 Forklift Certified Heavy loads, long distances, peak volume
OM-3 Manual jack Basic Short distances, temporary fallback only

Each Operating Method points to a dedicated WI. If none exists, the method is not allowed.

Templates (structure preview)

These are structure previews (not full documents). They show how we design controlled, practical documentation so you know what to expect.

SOP Template — Standard Structure

SOP: [Process Name] — WarehouseFramework Model

  • 1. Document Control (ID, version, owner, approvals, review cycle)
  • 2. Purpose
  • 3. Scope & Applicability
  • 4. Roles & Responsibilities
  • 5. Definitions & References
  • 6. Process Overview (high-level flow and decision points)
  • 7. Operating Methods (approved ways to execute the task)
  • 8. Safety & Compliance Requirements
  • 9. Quality & Performance Controls (checks, KPIs)
  • 10. Exceptions & Local Instructions
  • 11. Training & Competence
  • 12. Change Management
  • 13. Revision History
Work Instruction Template — Method-specific execution

WI: [Task] — Operating Method [OM-x]

  • 1. Document Control (linked SOP + OM reference)
  • 2. Purpose
  • 3. Scope & Applicability
  • 4. Required Equipment & Tools
  • 5. Required PPE & Safety Conditions
  • 6. Preconditions (Go / No-Go checks)
  • 7. Step-by-step Execution (one action per step)
  • 8. Quality Control & Verification
  • 9. Common Errors & Prohibited Actions
  • 10. Escalation & Abnormal Situations (links to LI)
  • 11. Training & Authorization
  • 12. Records & Evidence (if required)
  • 13. Revision History
Local Instruction Template — controlled exceptions

LI: [Exception / Constraint] — Linked to SOP

  • 1. Document Control (effective + expiry, approvals)
  • 2. Trigger Condition (when LI activates)
  • 3. Reason / Justification
  • 4. Scope & Applicability (strict boundaries)
  • 5. Temporary Operating Rules (what changes)
  • 6. Alternative Operating Method(s) (approved fallback)
  • 7. Safety Risks & Mitigations
  • 8. Communication & Escalation
  • 9. Return-to-Standard Conditions (end condition)
  • 10. Monitoring & Review
  • 11. Deactivation & Archiving
  • 12. Revision History

Example: “Move pallets from A → B” done correctly

In real operations, moving pallets can be executed by multiple Operating Methods. We document them as approved methods under the same SOP.

SOP excerpt (Operating Methods)

  • OM-1: EPT (standard)
  • OM-2: Forklift (heavy/long distance/peak)
  • OM-3: Manual jack (fallback only, short distance)
  • Selection rule: safest available method that meets operational needs

Linked WI list

  • WI-OM1: Move pallet with EPT (steps + checks)
  • WI-OM2: Move pallet with forklift (certified)
  • WI-OM3: Manual movement rules & limits
  • LI: EPT down / aisle blocked / traffic restriction

This prevents “everyone does it differently” while still keeping the process running under constraints.

How we work

Delivery steps

  1. Discovery: quick mapping of processes, risks, equipment, constraints
  2. Structure: SOP map + Operating Methods selection rules
  3. Drafting: SOP → WI → LI, with links and approvals
  4. Review: supervisor + manager + H&S alignment
  5. Handover: final pack + change process + training requirements

What customers can expect

  • Clear deliverables and scope boundaries
  • Consistent structure across all documents
  • Multiple Operating Methods documented where needed
  • Controlled exceptions (LI) instead of informal workarounds

FAQ

Do you deliver SOPs only, or also WIs and LIs?

We deliver a coherent system: SOP (rules + methods), WI (execution), and LI (exceptions). If a customer only needs review or only needs SOP, we can scope it accordingly, but most warehouses benefit from linked WIs and controlled LIs.

How do you handle multiple ways of doing the same task?

We define Operating Methods inside the SOP, with selection rules. Each method gets a dedicated WI. If equipment breaks or conditions change, an LI defines temporary rules and return-to-standard conditions.

Can this work remote?

Yes. We can map processes via video walkthroughs, structured interviews, and evidence collection. On-site workshops are optional.
